Managing User Roles and Permissions

Adding, Modifying, and Deactivating User Accounts Securely

Effectively managing user roles and permissions is critical for maintaining system security and ensuring proper access control. Supplier Shield provides a robust framework for adding, modifying, and deactivating user accounts securely. Here’s how you can manage user access efficiently and safely:

Key Features:

  • Centralized User Management: Easily view, manage, and control all user accounts in one place.
  • Granular Permission Control: Assign roles and permissions with precision to align with security requirements.
  • Secure Deactivation: Quickly deactivate accounts while maintaining an audit trail of user activities.

Step-by-Step Process:

1. Access the Dashboard:
Log into the Supplier Shield platform and navigate to the top right corner of the screen, and click on the arrow to open menu. From this menu, select "Users".

2. Adding a New User:
Click on "Add New User" to begin creating a new account. Enter the required user details, including:

  • Full Name
  • Email Address
  • Contact Number
  • Job Title
  • Image of user

Assign the appropriate role based on the user’s responsibilities. Roles can be customized to grant specific permissions aligned with security and operational requirements.

3. Modifying User Role and Permissions:
To update an existing user's role or permissions, select the user from the list. Click on "Edit user" and adjust their access settings as needed, allowing you to upgrade or downgrade user role and permissions.

Ensure changes align with the principle of least privilege, granting only the necessary access required for the user's role.

4. Deactivating a User Account:
When a user no longer requires access (due to role changes, termination, or other reasons), navigate to the "Your account" dashboard, select the specific user account, and click "Deactivate." This action instantly revokes all access privileges while securely retaining the user’s activity logs for audit and compliance purposes.

Note: Only users with 'Admin' privileges are authorized to perform deactivation of account.

Benefits:

  • Enhanced Security: Reduces the risk of unauthorized access through controlled role management.
  • Operational Efficiency: Simplifies user account management with workflows, processes and policies.
  • Regulatory Compliance: Supports compliance with security standards by maintaining accurate records of user access and permissions.
